What is this course about?

This workshop equips PAs, secretaries, committee members and anyone responsible for meetings and minutes with the practical, end-to-end skills to plan, run and record meetings professionally. Delegates learn how to prepare agendas, chair effectively, and write clear, accurate minutes in proper reported speech – while also building the confidence and judgement to use AI transcription and drafting tools as a genuine aid to that work, knowing exactly where they help and where a human check is still essential.

Meeting Fundamentals & Vocabulary:
We start by building a shared, practical vocabulary for meetings and minutes – the terms delegates need in order to follow agendas, motions and decisions with confidence. We also look at why meetings matter, when they're the right tool and when they're not, and the different types of meetings organisations hold.

• Core meeting and minute-taking terminology
• The purpose and legal basis of meetings
• Types of meetings and when to use them

Planning, Chairing & Running Effective Meetings:
Here we cover what it takes to plan and run a meeting that actually gets things done – from notices and working agendas through to the roles people play once the meeting starts. Delegates practise the chairperson's and secretary's responsibilities, and how decisions are properly proposed, seconded and recorded.

Minute-Taking Mastery
We work through the four core aspects of great minute-taking – listening, note-taking, transcribing and the soft skills that hold it all together. Delegates learn what belongs in a set of minutes, what doesn't, and how to structure minutes so they're clear, accurate and genuinely useful afterwards.

Professional Reported Speech & Language Precision
With minutes needing to be accurate and professionally worded, we give delegates focused, hands-on practice converting what was actually said into correct reported speech. This includes the tense, pronoun and time-word changes that trip up even experienced minute-takers, plus the vocabulary used to run a meeting from start to finish.

AI-Assisted Capture, Drafting & Judgement
We give delegates hands-on practice using AI tools at every stage of the minute-taking process – summarising documents, drafting agendas, reviewing transcripts and checking their own draft minutes.
